How to Manage Your Follow Up Boss Inbox Like a Pro (Without Missing a Single Lead)
This is the readable version of our video walkthrough.
A lead emails your business account directly, not through a lead source, just a plain email. You never see it in Follow Up Boss. Not because anything broke, but because of one detail about how the inbox works that almost nobody is told when they get started.
That gap is the most important thing in this walkthrough, but it sits at the end of a tab most teams only half use. Here's the full picture, top to bottom.
The Inbox Tabs: All, Assigned, Drafts, Sent, and Closed
The Inbox tab totals every email, text, and call in one number at the top. From there, the sub-tabs split that volume into something workable:
- Assigned shows anything routed to a specific person to respond to.
- Drafts hold anything started but not sent.
- Sent shows what's already gone out.
- Closed is where a conversation goes once it's been handled and you want that number to stop counting it as open.
A filter at the top of the main inbox lets you narrow the view to only emails, only texts, only calls, or a specific integrated texting tool, so you're never scrolling past a hundred emails to find the one voicemail you're looking for.
Calls: Voicemails, Notes, and Quick Callbacks
Missed calls show up with the voicemail attached, playable or downloadable right from the inbox. Any call, text, or email in the thread can have a note added directly, useful for logging context a texting integration partner needs, or just leaving yourself a reminder about what was discussed. Calling someone back takes one click on their number.
Texting: What You Can Do, and the One Real Limit
From inside a text thread you can reply, use AI assistance, drop in a saved template, send a vCard, attach a photo, or send an emoji, all without leaving the inbox. The one limit worth knowing: texts can only be scheduled for today or tomorrow. If you need something scheduled further out, texting isn't the tool for it, at least not natively.
Emails: More Flexibility Than Texting
Emails support the same reply, reply-all, attachment, and formatting options, but scheduling is far more flexible, out to weeks or months in advance. Hitting send and close moves the conversation out of your open count in one action, which matters if you're trying to keep that top number honest about what's actually still pending.
Team Inbox: Tracking Multiple Numbers for Multiple Purposes
If you're on a team, or want a dedicated number for a specific purpose, Follow Up Boss lets you create multiple team inboxes, each with its own phone number. A number just for open house sign-ins. A number that lives only on your listing signs. A number for a specific lead source.
Each one can be configured independently: assign the team members who should receive calls to it, choose a custom voicemail, set do-not-disturb rules for after-hours, and decide whether missed calls forward to a specific person or fall back to the team inbox itself. You can also connect a specific email address, something like listings@yourcompany.com, so that inbox captures its own dedicated stream of email as well as calls and texts.
The Gap That Actually Costs Leads
Here's the detail that matters most: Follow Up Boss's inbox only displays emails from contacts already saved in your database. If someone emails your business address directly, whether through Gmail, Outlook, or anywhere else, and they aren't already a saved contact, that email will not appear in your Follow Up Boss inbox at all. Not filtered. Not buried. Simply not shown.
The practical fix is a daily habit, not a setting: check your actual email inbox alongside Follow Up Boss, and the moment you spot a sender who isn't already in your CRM, save them as a contact immediately. Once they're saved, that thread and every future email syncs automatically. Some teams solve this with a Zapier connection that checks incoming email against the database and flags anyone missing.
The One Filter to Run This Through
Every feature in this tab exists to answer one question: is anything sitting unanswered right now, and would I actually know if it were? If the answer to the second half is no, that's the gap to close first, before optimizing anything else in the inbox.
Where This Fits Into the Bigger Picture
The inbox shows you conversations. It doesn't tell you whether every lead who's tried to reach you is even visible in the first place, or whether your team is checking the one place a message can quietly go missing. That's the operating layer above the tool, and it's the difference between a CRM that looks complete and one that's actually catching everything.
