How to Set Up Your Follow Up Boss Calendar So You Never Miss an Appointment
This is the readable version of our video walkthrough.
An appointment gets booked over text, lives on a sticky note or a separate calendar app, and never makes it into the CRM. The client shows up. The system has no record it was ever scheduled, no automatic reminder went out, and no outcome gets tracked once it's done. None of that is a Follow Up Boss problem. It's a habit problem, and the calendar tab solves most of it the moment it's actually used.
Viewing Your Calendar: Day, Week, Month, and Filters
Once your account is connected, the Calendar tab shows every day at a glance, with filters to narrow the view to just appointments, just tasks, birthdays, closing anniversaries, or deal closings. Three view options, today, a five-day week view, or a full month, let you zoom in for the day ahead or zoom out to see the shape of the month. Team leaders can toggle between their own calendar and any other team member's.
Booking an Appointment, Step by Step
Adding an appointment from the calendar (or directly from a contact's profile, which schedules it against that lead automatically) takes a title, date, time, and time zone, with an option to mark it as an all-day event. For in-person meetings, add the physical location. For virtual meetings, paste in the Zoom or Google Meet link directly.
From there, invite any team member or the client themselves, add any notes worth having on hand before the meeting, and select the appointment type.
The single most valuable box on this screen is the automatic email and text reminder. Check it once, and the system handles sending the reminder for you, no manual follow-up required to make sure someone actually shows up.
Setting Up Appointment Types and Outcomes
Appointment types (buyer consultation, listing appointment, seller consultation) and outcomes (no show, working with buyer, listing obtained, second appointment scheduled) are both configured under Admin, then Appointments. The type gets selected when the appointment is booked. The outcome only gets selected afterward, once the meeting has actually happened, which is what turns your calendar into a source of real conversion data instead of just a schedule.
Letting an ISA or Team Member Book Directly on Your Calendar
If you work with an ISA or want to open up scheduling to your team, agents can block off recurring windows, say, appointments only between 11 and 1, and anyone booking on their behalf can schedule directly into those open blocks without back-and-forth.
It's worth knowing this isn't the only model teams use. Some prefer a more competitive structure, where an open appointment gets posted in a group chat and whichever agent responds first claims it. Neither approach is objectively right.
Tasks Show Up on Your Calendar Too
Any task with a due date appears directly on the calendar, shown in a distinct color so it doesn't get confused with an actual appointment. Mark it done from right there and it's crossed off without needing to open the Tasks tab separately.
The One Filter to Run This Through
A calendar full of appointments means nothing if reminders aren't going out automatically and outcomes aren't being logged. Before adding more to it, check the basics: is the reminder box checked on every appointment, and is someone actually recording the outcome after each one?
Where This Fits Into the Bigger Picture
The calendar shows what's booked and reminds people it's happening. It doesn't tell you whether appointment types reflect how your business actually sells, whether outcomes are being tracked consistently enough to mean anything, or whether your team is even working from this calendar instead of a separate one. That's the operating layer above the feature, and it's what turns a scheduling tool into a real read on how many meetings are actually converting.
